Faithful Formation Administrative Coordinator, Part-Time

ORGANIZATIONAL RELATIONSHIP

Reports to: Grant Director for the Faithful Formation (FF) Grant at Louisville Seminary.

POSITION DESCRIPTION

The Administrative Coordinator for the FF Grant provides direct support to the Grant Director, Research Director, and Research Coordinator, as well as other positions within the FF Grant such as directors, specialists, web developers and staff at Louisville Presbyterian Theological Seminary. Duties include maintenance of documents, project management, event planning, and coordination, as well as other duties as assigned. This is a part-time position (30 hours per week).

RESPONSIBILITIES:

  • Liaise, interface and collaborate with seminary personnel and external stakeholders or entities to facilitate grant deliverables.
  • Attend grant and research meetings with active engagement, note taking and tracking action items for grant deliverables.
  • Prepare, distribute, document, and file correspondence.
  • Maintain databases of subscribers, vendors, contributors, and collaborators.
  • Receive and direct telephone calls and email correspondence.
  • Assist with billing and payments with completion of financial documents.
  • Support production of documentation, digital content, reports and publications.
  • Maintain a planning calendar for the Project Director, Research Director, Research Coordinator, and other FF Grant staff.
  • Track, assist in recruitment, and communicate effectively for participant engagement.
  • Schedule, coordinate calendars, and professionally engage with seminary offices and project participants.
  • Take initiative as well as responsively and adaptively address concerns as these arise.
  • Provide event and activity support through communication, logistical planning, preparation, and on-site execution of deliverables.

QUALIFICATIONS AND DESIRED QUALITIES

  • Ability to work independently.
  • Strong attention to details and accuracy.
  • At least three years administrative assistant experience. Every 30 hours of college work or additional related education may be substituted for one year of experience.
  • High school diploma and two years college or business school or equivalent.
  • Proficiency in basic office management operations.
  • Proficiency with Microsoft Office or like suite software, particularly Excel and Word.
  • Proficiency with CANVA, Adobe Suite Software, Microsoft OneDrive, Teams, and Google Drive.
  • Ability to handle a large volume and a great variety of work in an accurate and timely manner and be receptive to changing responsibilities and new challenges.
  • Excellent interpersonal and communication skills.
  • Ability to appropriately handle confidential information and material with the utmost discretion.
  • Eagerness to learn new technology and software as needed.
