Position Overview
The Administrative Coordinator is an integral member of the Black Church Studies team and an integral part of the Black Church Cornerstone Collaborative, a transformative, multi-year program funded by the Lilly Endowment.

The Black Church Cornerstone Collaborative supports Black Church leaders and congregations in rural and small-town contexts by offering ministry education, strategic resources, collaborative learning opportunities, and micro-grants. Areas of focus include pastoral leadership development, rural heritage and Sankofa work, evangelism and congregational vitality, and the empowerment of Black women in ministry.

The Administrative Coordinator provides direct administrative support to the Grant Director and Associate Grant Director, manages day-to-day program operations, and coordinates high-impact events and activities aligned with the Collaborative’s goals. The Administrative Coordinator also serves as a key point of contact for program participants, collaborators, and stakeholders.

Core Responsibilities

  1. Administrative Support
    • Maintain comprehensive program databases and records, including participant rosters, collaborator lists, micro-grant documentation, and evaluation data.
    • Support correspondence, scheduling, calendar management, and document organization for the Grant Director and Associate Grant Director.
    • Organize, schedule, and document meetings, including Black Church Cornerstone Collaborative Advisory/Consulting Committee meetings and collaborator strategy sessions.
    • Prepare draft grant reports, track benchmarks and deliverables, and assist in monitoring progress toward stated program objectives.
    • Track and reconcile program budgets and expenses in collaboration with Seminary finance staff to ensure compliance with grant requirements.
    • Maintain accurate records of reimbursements, honoraria, travel, and vendor information.
  2. Event Coordination
    • Plan, coordinate, and execute key events related to the Black Church Cornerstone Collaborative, including gatherings, workshops, summits, consultations, and virtual meetings.
    • Manage logistics for all events, including coordinating speakers, venues, travel, technology, registration, materials, and hospitality.
    • Serve as the primary logistical point of contact for participants, speakers, vendors, and collaborators to ensure smooth, mission-aligned execution.
    • Support post-event follow-up by working with Communications to prepare summaries, impact highlights, marketing content, and evaluation tools.
    • Collect and analyze participant evaluations and provide reports to leadership for internal planning and grant compliance.
  3. Program Communication and Outreach
    • Draft and distribute newsletters, announcements, and promotional materials highlighting Collaborative events, learning opportunities, and impact.
    • Support the development of educational and formation materials for ministry leadership cohorts, certificate pathways, and continuing education offerings.
    • Maintain consistent communication with rural and small-town Black congregations, program collaborators, and denominational partners.
    • Assist in managing social media, website updates, and other platforms (in collaboration with Seminary Communications) to elevate the visibility of the Collaborative.
  4. Participant and Cohort Support
    • Assist with registration, enrollment, and tracking for Black Church Studies certificates, learning cohorts, and network gatherings.
    • Maintain participant progress records; manage reminders, updates, and program-related communications.
    • Coordinate micro-grant application, award notification, and reporting processes for congregations engaged in ministry projects aligned with the Collaborative’s priorities.
    • Track receipts, narrative reports, and required documentation for micro-grant reporting.

Key Qualifications

  • Education: Bachelor's degree preferred; equivalent relevant administrative/program coordination experience will be considered.
  • Experience: Minimum of 3 years in an administrative support, project coordination, or program management role, preferably within higher education, nonprofit, theological, or faith-based work.
  • Technical Skills: Proficiency in all Microsoft Office Suite programs, including Word, PowerPoint, and Excel; comfort with budgeting tools, expense tracking, and basic financial reconciliation; familiarity with virtual meeting platforms (e.g., Zoom) and online registration tools.
  • Communication Skills: Excellent written and verbal communication skills; ability to draft professional correspondence, newsletter content, event materials, and summary reports.
  • Organizational Skills: Strong attention to detail; ability to manage multiple timelines, events, and priorities in a fast-paced, mission-driven environment.
  • Interpersonal Skills: Demonstrated ability to work collaboratively, exercise discretion and professionalism, and engage respectfully and sensitively with Black Church communities.
  • Cultural and Contextual Awareness: Understanding of and respect for Black Church life in rural and small-town settings, including the unique gifts and challenges of ministry in these contexts.
  • Adaptability: Ability to work both independently and as part of a team; comfort with evolving responsibilities and emerging needs.

Preferred Attributes

  • Familiarity with Black Church life, Black rural congregational leadership, and/or rural and small-towns ministry.
  • Experience supporting grant-funded programs, including documentation and reporting.
  • Experience with event planning, convening, or cohort/learning community support.
  • Knowledge of Louisville Presbyterian Theological Seminary, Louisville area religious communities, or Black Church Studies programs.
