Executive Administrative Coordinator to the Seminary

JOB SUMMARY:

This position is responsible for coordinating the activities and programs in the office of the President. In addition, this position will provide critical operating support to the Board of Trustees. This position will support the President and other cabinet leaders to organize workflow, maintain timely correspondence, and serve as a liaison between the Seminary and its constituents.

ORGANIZATIONAL RELATIONSHIP:

Reports to the President of the Seminary

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

  • Act as a trusted partner and direct support to the President and other cabinet leaders.
  • Extend forward-facing hospitality to all constituents of the seminary, including alums, guests, donors, employees, and students.
  • Assist with day-to-day administrative tasks, projects, and planning.
  • Assist with scheduling and managing travel and expenses, including flights, hotels, meals, and events.
  • Review, track, and code invoices and expenses.
  • Provide support for the planning and organization of meetings, outings, events, etc.
  • Work in collaboration with the Board Chair and President to:
    • Coordinate and administer activities related to the Board of Trustees and related committees of the seminary.
    • Generate reports, meeting minutes, and materials.
    • Provide timely communication to board members.
  • Coordinate invitations to speakers and special guests for commencement and other events as needed, including management of their travel itineraries.
  • Manage office supplies, maintain inventory, and order supplies in coordination with the Business Office.
  • Prepare and edit correspondence, presentations, reports, and print material for the President and other departments as needed.
  • Provide accurate record and file maintenance and ensure filing is in proper format.

Knowledge and skills required

  • Minimum 3 years’ experience working with C-Suite executives desired
  • Excellent interpersonal and communication skills.
  • Extremely well-organized with exceptional time-management skills.
  • Able to maintain a poised attitude under pressure with flexibility to adapt to changing priorities in a fast-paced environment.
  • Approachable and have an engaging positive attitude with excellent customer service skills.
  • Need to be highly resilient and adaptable to constantly changing priorities.
  • Able to work effectively as a part of a team and be able to prioritize direction and tasks.
  • Need to be proactive and possess strong judgment and decision-making skills.
  • Can work independently and handle constantly changing needs.
  • Accuracy, meticulous attention to detail and excellent proofreading/editing skills.
  • Possess a high degree of integrity, confidentiality, and trustworthiness when dealing with confidential and sensitive information.
  • Proficient in Word, Excel, PowerPoint, and MS Outlook and project management software.
  • Flexible schedule, including availability to work occasional evenings and weekends.
  • Ability to respond with sensitivity and awareness to those with diverse cultural, ethnic, social backgrounds, values, attitudes and languages.

PHYSCIAL REQUIREMENTS:

  • Prolonged periods of sitting at a desk and working on a computer.

COMPENSATION:

Full time, non-exempt position offering a full range of benefits, including 403B pension benefit, and health insurance.
