Advancement Services Coordinator

JOB SUMMARY:

Oversee and systematize administrative systems that will allow for efficiency and smooth functioning of Advancement Office operations. Provide programmatic and operations coordination to the Vice President of Advancement that ensures a donor-centered fundraising program. Manage departmental stewardship efforts.

ORGANIZATIONAL RELATIONSHIP:

  • Reports to the Vice President for Advancement

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

  • Provide administrative coordination for a donor-centered fundraising program.
  • Execute stewardship efforts such as the Thank-a-Thon, Impact Report, and First-Time Donor programs.
  • Ensure proper and accurate gift recording in the database.
  • Maintain scholarship and naming records.
  • Manage Memorial Garden sales, schedule services in EMS Scheduling System, and coordinate service details with family/representative.
  • Process department invoices and contracts and order office supplies, donor gifts, etc.
  • Serve as the point person for handling meeting and event coordination and logistics, including in-person and/or online meeting scheduling.
  • Provide support services to various Advancement-related boards and committees.
  • Ensures that the database is maintained in a manner to properly reflect accurate information on alums, donors, prospects (individual, corporate, foundation, etc.), and churches.

QUALIFICATIONS & SPECIAL SKILLS:

  • Bachelor’s degree preferred.
  • Must be able to work as part of a team and manage multiple tasks.
  • Excellent writing, communication, and organizational skills.
  • 1-3 years of experience in a higher education advancement environment or other equivalent non-profit environment.
  • Ability to represent the Advancement Office and Louisville Seminary professionally.
  • Must be capable of working with sensitive information with complete confidentiality.
  • Must be flexible with work schedule and available to work weekends and evenings as necessary.
  • Computer knowledge in Excel, Word, Outlook, and database applications. Experience with Raiser’s Edge database is a plus.
  • Strong organizational skills and the ability to multi-task and set priorities.
  • Ability to work independently and in a team environment.
  • Ability to respond with sensitivity and awareness to those with diverse cultural, ethnic, and social backgrounds, values, attitudes, and languages.
  • Knowledge, understanding, and appreciation of Louisville Seminary is highly valued, and a graduate of Louisville Seminary is valued.

PHYSICAL REQUIREMENTS:

  • Prolonged periods of sitting at a desk and working at a computer

COMPENSATION:

Part-time, hourly position, 20-25 hours per week.
