Grant Program Manager
JOB DESCRIPTION
The Grant Program Manager role is a Full-Time position. This position supports the mission of the Louisville Presbyterian Theological Seminary and the Louisville Institute by streamlining grant and contract transactions through all aspects in the grantmaking lifecycle including application, due diligence, approval, recording, knowledge management, and reporting. The Grant Program Manager will develop, initiate, maintain and revise policies and procedures for the general operation of grants management and contracting activities to provide high-quality and ethical service to staff, board, grantees, and other partner organizations.
ORGANIZATIONAL RELATIONSHIP
The Grant Program Manager role reports directly to the Executive Director of the Louisville Institute.
CORE RESPONSIBILITIES:
Event Coordinator Responsibilities:- Implement a streamlined grant management system:
- Establish and manage database to track grant and contract activities, reporting and deliverables.
- Collaborate with the Executive Director, the Finance Team and external parties to establish grantmaking practices that are in compliance with regulatory requirements, aligned with the mission of the Louisville Institute and the funding organization, with emphasis on equity and innovative programming within religious communities.
- Collaborate with the Executive Director and Finance Team members to streamline sound grantmaking procedures encompassing all aspects of a grant lifecycle including application, due diligence, adjudication support, approval, recording, budget monitoring, and reporting.
- Partner with the Louisville Institute Team to collect, organize, summarize, analyze, and disseminate knowledge and critical lessons learned from grantmaking activities.
- Serve as the liaison between Louisville Institute Team and back-office compliance functions:
- Partner with the Louisville Institute Team members to monitor and track grants and contracts to ensure that required laws, regulations, and established policies are followed as grants and contracts are reviewed, awarded, monitored, and closed.
- Convene and partner with Louisville Institute Team to integrate expectations into grant applications, program delivery activities, outcomes, and reporting.
- Lead and provide recommendations when contract requirements need to be adjusted, as well as process improvements for effective contract management.
- Support and be a thought partner with Louisville Institute Team in collecting and organizing documentation for RFP’s, contract submission and reporting; support submission of Seminary information in accordance with contract procurement process and reporting requirements.
- Troubleshoot incoming requests by providing advice and seek opportunities to foster peer-to-peer learning in efforts to mitigate risks.
- Assist in preparation of budget and oversee expenditure of those funds with the Executive Director and the Louisville Seminary Finance Team
- Write job descriptions, recruit, and assist in supervising student workers
- Coordinate taking minutes at Advisory Board, Lilly Endowment, Inc. and any other LI meetings as requested by the Executive Director
- Record policies and procedures and create workflow charts
- In cooperation with the Executive Director, consult with Louisville Institute Advisory Board about aspects of the Institute’s work with various constituents
QUALIFICATIONS, SKILLS & CHARACTERISTICS:
- Minimum 3 years of related experience in non-profit environment or an industry supporting non-profit operating capacity, preferably in a Christian ministry setting.
- Relevant experience in grant management and compliance, preferrable with a bachelor’s degree in law, business administration or relevant area of study.
Required Skills
- Knowledge and experience in grantmaking activities, including contracts and grant agreements.
- Strong ability in using technology and MS office suite, highly preferrable with experience in grants management system.
- Demonstrated high level of ethics, integrity, and confidentiality.
- Ability to prioritize, manage and follow up on multiple priorities and action items independently while meeting deadlines.
- Accuracy and attention to detail.
- Strong verbal, non-verbal and written communication skills combined with the ability to listen deeply and authentically.

- An understanding of the foundational role that racism, ableism, sexism and other forms of bias and oppression play in perpetuating inequity.
COMPENSATION:
